Safety and Risk Management Committee The Safety Committee and the Risk Management Committee; may report as appropriate to OE. The role and functions of the committees are to: 1) ensure member safety, staff safety, and public safety; 2) review incidents and injuries; 3) review and update Annual Safety and Disaster Plans; 4) ensure infection control practices are in place; 5) conduct site safety reviews; 6) determine safety metrics; 7) ensure required drills are performed; 8) maintain First Aid Kits, fire extinguishers, and Automatic Electric Defibrillators; 9) monitor Transportation issues; 10) ensure adequate insurance coverage and conduct periodic risk assessments Meeting Frequency: meet monthly and report findings at Operations Efficiency Committee/or with supervisor approval. Clinical Information Systems Committee (Clinical IS) The Clinical Information Systems Committee is a subcommittee of OE. The role and function of the committee is to: 1) analyze, design, and implement processes to better utilize clinical applications to meet requirements of the organization for all reports, claims, and data submissions to all funders; 2) ensure compliance of clinical applications to all of the organization’s requirements such as CARF, AHCCCS, HIPAA; 3) develop the clinical applications to help the organization to be more efficient in its reporting and collection of data; 4) determine the organization’s need for training of clinical applications; 5) oversee and ensure effective maintenance of and updates of the new Electronic Health Record and Electronic Practice Management System. Meeting Frequency: The Clinical Information Systems Committee meets weekly/ or with supervisor approval. DATA VALIDATION Data Validation is a process where billing and coding is compared to the assessment, treatment plan, progress note and billing documentation to verify that the service was assessed, prescribed, provided, documented, coded, and billed appropriately. This process is important to ensure that CODAC can provide guidance to personnel who may not be following these requirements appropriately; to reduce billing errors; and to ensure accountability. CODAC personnel is entrusted to provide the covered services needed by members. In order to do this, CODAC employees must demonstrate the need, document the need, provide the services and document these services appropriately. At least quarterly personnel is assigned to review a sampling of records to determine if errors are present; errors will be addressed with appropriate employees and program leadership Should you have any questions related to Data Validation please contact QM.
