fact at the time of the absence or tardiness. Except when permitted by law, employees will not be required to reveal the nature of any underlying medical condition. If an employee believes they have been mistakenly subject to disciplinary action for an absence or for tardiness that the employee believes is legally protected, the employee should promptly discuss the matter with their manager or Human Resources. Absent extraordinary circumstances or a legally protected reason, if employees fail to report for work without any notification to their supervisor and their absence continues for a period of three (3) days, CODAC will consider that the employee has abandoned and voluntarily terminated their employment. PERSONAL ELECTRONIC DEVICES Although CODAC permits employees to bring personal electronic devices, including cellular phones, smartphones and personal digital assistants into the workplace, employees are expected to remember that working time is for work. Therefore, employees should only engage in personal phone calls and other use of personal electronic devices during nonworking time, including meal and rest breaks. Outside of this time, personal phone calls and communications should be kept to a minimum and for emergencies only. PERSONAL CALLS While employees are at work, they are expected to perform their job duties and responsibilities. Personal calls should be made primarily outside of working time. CODAC may monitor the frequency and duration of an employee's usage of its telephones. In the event it is necessary to make a personal long-distance call, employees may be asked to reimburse CODAC for the cost, when applicable. Abuse of CODAC’s telephones and/or long distance service may result in discipline, up to and including termination of employment. CONTACT WITH THE MEDIA CODAC works diligently to build good working relationships with the local media and ensure the proper handling of media contacts to accurately reflect the work and beliefs of CODAC, reduce stigma and protect the confidentiality of CODAC members. Paramount in all of our activities with the media is the health and well-being of CODAC members and their families; this will take precedence over obligations to the media. The Media Relations policy is designed to protect the confidentiality of members in compliance with privacy standards for healthcare information as dictated by The Health Insurance Portability and Accountability Act of 1996 (HIPAA) as amended. The full cooperation of all CODAC departments and personnel is critical to achieving our communications goals. Absolutely no information about members/participants or their families – even confirmation of a member’s presence at a facility – may be released without signed consent from the member/participant. To meet CODAC’s communication goals and to ensure accuracy and consistency of messages, the Marketing & Business Development Department has the responsibility and authority to manage communications with the media. Requests or inquiries from the media will be referred to the Chief Operating Officer, Monday through Friday, 8:00am to 5:00pm. Urgent after-hours requests for this information should be forwarded to the Safety Zone after-hours line. The Administrator on Call will then contact the Chief Operating Officer for assistance in responding to urgent after hours requests. Communication with the media using CODAC stationary, fax machines, telephones or emails or in a manner where media might assume that individual is reflecting the views of CODAC is prohibited unless approved by the Chief Operating Officer and/or the President/CEO.
