Paid Time Off: Paid time off (PTO) is a policy that allows employees to receive a set of paid time off allowances, including vacations, holidays, sick days, jury duty, short-term military service, funeral leave, and severance pay. Paycheck Date – The date that employees are paid. CODAC’s paycheck date is on Friday after the Pay Period ends. The exception is when a Federal Observed Holiday falls on Friday, then the pay date will be on Thursday that week only. Pay Period – time frame used to calculate wages. CODAC’s pay period is bi-weekly beginning on Monday and ending on Sunday two weeks later. Punch Change Request – A mechanism for hourly employees to make a change to their timecard. The employee completes the “request” in Paycom and submits the request electronically through Paycom. The supervisor then reviews and approves or denies the request. If approved, the time punch is then changed or added to the timecard. Punch Change Requests should not be used in place of clocking daily. Quality Management: A system to make sure that a product or service meets standards of excellence, and that the process by which the product or service is created is efficient and effective as well. The three key components of this system are quality control, quality assurance and quality improvement. • Quality control (QC) is a process by which entities review the quality of all factors involved in production. • Quality assurance (QA) is a way of preventing mistakes and defects in manufactured products and avoiding problems when delivering products or services to customers. • Quality improvement (QI) consists of systematic and continuous actions that lead to measurable improvement in services and the quality of targeted product and services Rewards and Recognition: Rewards and Recognition is a system where people are acknowledged for their performance in intrinsic or extrinsic ways. Rewards & Recognition is present in a work environment where there is appropriate acknowledgement and appreciation of employees’ efforts in a fair and timely manner. This includes appropriate and regular financial compensation, as well as employee or team celebrations, recognition of years served, and/or milestones reached. Sexual Harassment: Sexual harassment is a form of sex discrimination and is defined by the Equal Employment Opportunity Commission as “unwelcome sexual advances, requests for sexual favors, and other verbal or physical harassment of a sexual nature.” Employers can be held legally liable for “quid pro quo” sexual harassment as well as for the creation of a hostile or offensive environment. It is the conduct itself that is unlawful if a reasonable person would find that the conduct had created a hostile or offensive work environment. Timecard Approval – Employees and Supervisors must both approve a timecard by using the Approve By Date or Approve Pay Period buttons on the timecard. Time Off Request – A mechanism for employees to request Paid Time Off, Paid Sick Leave or Professional Leave to be added to their timecard. Total Compensation: The term total compensation is used to describe all forms of monetary payments to an employee. For existing employees, this can include both base pay as well as incentives and benefits. For newly hired employees, the total compensation in the year hired may also include a sign-on bonus.
